Employment
Office Administrator – Customer Service & Payroll | Management Pathway
Munro Engineers – Ballarat, Victoria
Full-time
Build a long-term career with an established Australian manufacturing business
Munro Engineers is looking for a capable, organised and motivated person to join our Ballarat team in a hands-on office administration and customer service role.
This position would suit someone who enjoys dealing with customers, learning products, organising orders, handling payroll and accounts administration, and making sure things get done properly.
For the right person, this is more than an administration job.
We are looking for someone with the ability and ambition to take on greater responsibility over time, with genuine potential to progress into an Office Manager position and potentially become part of the future management team of the business.
You do not need to already be an Office Manager. We are more interested in finding someone with the right attitude, intelligence, initiative and ability to grow.
The role
Your day-to-day responsibilities will include:
- Answering incoming telephone calls and directing calls where required
- Learning the Munro Engineers product range and assisting customers with enquiries
- Taking telephone and email orders for machines and spare parts
- Processing customer orders accurately
- Ordering office supplies and other materials
- Organising spare-parts despatch using TNT/FedEx systems
- Packing spare parts for mail and courier collection
- Entering supplier/vendor bills
- Entering and allocating customer payments
- Assisting with general accounts and office administration
- Preparing the weekly payroll using Roubler
- Organising weekly employee payments and superannuation
- Maintaining accurate office and customer records
- Following up outstanding matters and ensuring tasks are completed
As your knowledge and experience develop, we would expect you to become increasingly involved in improving office systems, processes and procedures.
Who we are looking for
We are looking for someone who is:
- Confident and professional on the telephone
- Friendly and comfortable dealing with customers
- Highly organised and accurate
- Reliable and able to take ownership of their work
- Comfortable working independently
- Able to prioritise multiple tasks
- Quick to learn new products and systems
- Comfortable working with numbers
- Confident using computers and business software
- Willing to ask questions and solve problems
- Interested in improving the way things are done
- Looking for a long-term career rather than simply their next job
Previous experience in office administration, customer service, accounts or payroll would be highly regarded.
Experience in manufacturing, engineering, agricultural machinery, automotive, industrial supplies, parts, service departments or equipment dealerships would also be advantageous.
Systems experience
Experience with any of the following would be useful but is not essential:
- Payroll systems
- Roubler
- ERP or accounting software
- Odoo
- Accounts payable and receivable
- TNT/FedEx or other freight systems
- Microsoft Excel and Outlook
We are happy to train the right person in our particular systems.
What matters most to us
We are not simply looking for the applicant with the longest résumé.
We are looking for someone who:
- Learns quickly
- Takes responsibility
- Communicates well
- Has good judgement
- Notices when something needs to be done
- Follows things through to completion
- Wants to understand how the whole business works
The successful applicant should be comfortable doing practical everyday tasks such as answering phones and packing spare parts while also having the potential to take on considerably greater responsibility in the future.
Career opportunity
This role offers a genuine pathway for the right person to develop through positions such as:
Office Administrator → Senior Administrator → Office Manager → Potential Management Team
Progression will depend on demonstrated ability, performance and willingness to take on responsibility.
For an ambitious person who wants to understand and eventually help manage a manufacturing business, this is an opportunity to build a long-term career.
